1. Avoid Needless Mailings. If it's not essential, don't send it. If going to another agency within Frankfort - USE MESSENGER MAIL.
2. In Town, Use the Phone, E-mail or FAX. Unless an original paper copy is necessary, using the phone, e-mail or fax is faster and cheaper.
3. Purge Your Mailing Lists. If there are names on your list that are no longer appropriate, remove them. In addition to the postage, you will save the material and the cost of printing and handling.
4. Update Your Mailing Lists. Incorrect addresses cost you money. Your correspondence may never reach its destination or may not be received timely.
5. Combine Your Mailings. Why send two letters when one will do? A 37 cent stamp entitles you to mail one ounce; about three sheets of bond paper (or more depending on the weight of the paper) plus a #10 envelope.
6. Try to be Brief. In order to reduce your postage costs, minimize the number of inserts. Use duplex printing to get your message across and keep the number of pages to a minimum.
7. Review Your Attachments and Enclosures. Eliminate any attachments/enclosures that are not absolutely necessary.
8. Use an Approved Standard Address Format. Due to the increased use of automation and technology, a standard address format will improve the accurate/timely delivery of your mail.
9. Consider Other Means of Reduction. Use both sides when appropriate. When making copies, reduce to a smaller size - a particularly good idea where computer printouts are involved.
10. Plan Ahead. If time permits, mail such as newsletters, circulars, books, catalogs, etc., may be sent at rates less than the first-class rate. The postage savings may be significant.
